## Windows:  Move OneDrive Sync & Backup from CSUM to Cal Poly

### Stop backing up to CSUM OneDrive

1. Take screenshots of any favorites or bookmarks in your Quick Access bar in File Explorer
2. Select the **OneDrive cloud icon **in the Windows tray near the clock (bottom right corner).
3. Select the **Help & Settings gear icon**.
4. Select **Settings**.
5. Open **Sync and backup**.
6. Select **Manage backup**.
7. Turn off backup for:
  1. Desktop
  2. Documents
  3. Pictures
  4. any other folder you have synching to One Drive
8. When asked what to do with the files, select:
9. **Keep the files only on my PC**
  1. Confirm the change.
  2. Wait for OneDrive to finish processing.
10. Select the **OneDrive cloud icon** near the clock.
11. Open **Account**.
12. Find the **CSUM** account.
13. Select **Unlink this PC**.
14. Select **Unlink account** to confirm.

Follow these steps to **start syncing to Cal Poly:**

After you have unlinked your CSUM OneDrive account, you can connect your Cal Poly OneDrive account.

## Start backing up to Cal Poly OneDrive

1. Open the **OneDrive** app.
  - If prompted automatically, continue to Step 2.
  - Otherwise, search for **OneDrive** from the Windows Start menu and open it or open from the Cal Poly Portal.
2. Sign in using your **Cal Poly** email address and password.
3. Complete the OneDrive setup.
4. When prompted to back up your folders, select **Next**.
5. Choose the folders you want to back up, such as:
  - Desktop
  - Documents
  - Pictures
  - Any other folder you want to backup to OneDrive
6. Select **Start backup**.
7. Wait while OneDrive begins syncing your files to your Cal Poly OneDrive. Depending on the number of files you have, this may take some time.
8. To verify that syncing has started:
  - Select the **OneDrive** cloud icon in the Windows tray (bottom right corner near the clock).
  - Confirm that your account is listed as **OneDrive – Cal Poly**.
  - Check that your files show syncing or a green check mark after synchronization is complete.

> ℹ️ **Note:** Your files remain on your computer throughout this process. Changing your OneDrive account only changes where your files are backed up and synchronized.

## Mac: Move OneDrive Sync & Backup from CSUM to Cal Poly

### Stop backing up to CSUM OneDrive

1. Take a screenshot of any existing bookmarks or shortcuts you wish to re-create.
2. Select the **OneDrive** cloud icon in the macOS menu bar.
3. Select the **Settings** (gear) icon.
4. Select **Preferences** (or **Settings**, depending on your OneDrive version).
5. Select **Sync and Backup**.
6. Select **Manage Backup**.
7. Turn off backup for any folders currently being backed up, such as:
  - Desktop
  - Documents
  - Pictures (if applicable)
  - Any other folder you are backing up
8. When prompted, choose to **keep the files on this Mac**.
9. Wait for OneDrive to finish processing.
10. Select the **Account** tab.
11. Select **Unlink This Mac**.
12. Confirm the change.

> ℹ️ **Note:** Your files remain on your Mac. This only stops backing them up to your CSUM OneDrive account.

### Start backing up to Cal Poly OneDrive

1. Open the **OneDrive** app.
  - If it isn't running, open **Applications** and launch **OneDrive**.
2. Sign in with your **Cal Poly** email address and password.
3. Complete the OneDrive setup.
4. When prompted, select the folders you want to back up:
  - Desktop
  - Documents
  - Pictures (if applicable)
  - Any other folder you want to backup
5. Select **Start Backup**.
6. Wait while OneDrive uploads your files to your Cal Poly OneDrive.
7. Verify synchronization by selecting the **OneDrive** cloud icon in the menu bar. Your account should display as **OneDrive – Cal Poly**, and your files will show sync status.

## Reconnect SharePoint and Teams libraries

Reconnect each SharePoint or Teams document library from its new Cal Poly location.

### Option A: Add a shortcut to OneDrive

1. Sign in to Microsoft 365 using your `@calpoly.edu` account.
2. Open the new SharePoint site or Microsoft Team.
3. Open the required document library or the Team’s **Files** area.
4. In Teams, select **Open in SharePoint** when needed.
5. Select **Add shortcut to OneDrive**.
6. Repeat these steps for each library you need.

The library will appear inside the new OneDrive under **My files**.

### Option B: Sync the library to this computer

1. Sign in to Microsoft 365 using your `@calpoly.edu` account.
2. Open the new SharePoint site or Microsoft Team.
3. Open the required document library.
4. Select **Sync**.
5. Allow the browser to open Microsoft OneDrive.
6. Sign in with the `@calpoly.edu` account when prompted.
7. Repeat these steps for each library you need.

> ℹ️ Use either **Add shortcut to OneDrive** or **Sync** for a library. Do not use both methods for the same library.

## Update File Explorer shortcuts

### Pin the new OneDrive folder

1. Open **File Explorer**.
2. Open the new `@calpoly.edu` OneDrive folder.
3. Right-click the folder.
4. Select **Pin to Quick access**.
5. Repeat for any shortcuts you recorded from Step 1 of this guide.

### Remove old shortcuts

1. In File Explorer, locate the old CSUM OneDrive or SharePoint entry under **Quick access**.
2. Right-click the old entry.
3. Select **Unpin from Quick access**.
4. Repeat for each old OneDrive or SharePoint shortcut.

> ℹ️ Also remember to update any desktop shortcuts that point to old OneDrive or SharePoint folder locations.

## Remove the Old Local OneDrive and SharePoint Folders

After the old OneDrive account has been unlinked and the old SharePoint libraries have stopped syncing, the old folders may be safely removed at any time.

1. Open **File Explorer**.
2. Browse to the old CSUM OneDrive or SharePoint folder.
3. Right-click the old folder.
4. Select **Delete**.
5. Repeat for each old OneDrive or SharePoint folder that is no longer needed.
6. Empty the Windows Recycle Bin when desired.

Typical old folder locations may include:
